The Grand Daddy Boutique Hotel doesn't do ordinary. Located at 38 Long Street, right in the thick of Cape Town's city centre, it features individually styled rooms downstairs and a fleet of designer Airstreams parked on the roof. It's the kind of property where the elevator alone is a design statement. Running it, on the other hand, was still being done the old way — on paper.

How it started

This case study technically starts at a different hotel. Once HouseProud was properly bedded in at Eleven Boutique Hotel down in Plettenberg Bay, its owners got talking to Dane van Heteren. He liked what he saw enough to want it running under his own roof.

The Grand Daddy was, in most of the ways that matter, a different animal compared to a twelve-suite boutique on a Garden Route main road — it was bigger, busier, and had more moving parts, with rooftop Airstreams thrown in for good measure. But the underlying problem was familiar: the day-to-day running of the hotel — room cleaning, bathroom checks, maintenance logs, and arrivals — was all being managed on paper checklists. It was reliable enough until it wasn't, and the information remained invisible to anyone who wasn't standing right there holding the clipboard.

Meet Tiaan

Tiaan Fourie runs The Grand Daddy as General Manager. On paper (fittingly), this meant carrying the entire operational picture — of a heritage building with a rooftop cinema, a Sky Bar, event spaces, standard rooms, and quirky Airstreams — largely in his own head. The HouseProud implementation team came through, sat down with Tiaan, and got to work bringing the hotel's paper trail into the app.

Week one

Not sunshine and rainbows.

Nobody pretends the first week was entirely smooth, least of all HouseProud. With a new system, new habits, and a team that had relied on paper checklists for years, there were the usual knowledge and training gaps you would expect and plan for during any implementation. Staff were finding their feet with the app while simultaneously keeping the hotel running.

Week two

The data problem nobody knew they had.

By the second week, adoption had turned a corner, and the app started surfacing something Tiaan hadn't been expecting: operational data he'd never had visibility into before, gathered without anyone having to go looking for it.

Finding this kind of data manually would have been incredibly difficult and time-consuming. What's even crazier is that some of the insights surfaced are things I wouldn't have even thought to measure, yet they add so much value. It's truly incredible.

That's the thing about a paper checklist — it only tells you what you thought to ask it. HouseProud was quietly answering questions Tiaan hadn't known he had.

Every department, one system

From there, momentum built.

Maintenance

Maintenance started logging problems straight into the app instead of a notebook that lived wherever it was last put down.

Housekeeping

Room cleaners began using the system consistently, day in and day out.

Reception

Reception could see exactly which rooms were arrival-ready and which guests were already checked in, without needing to call housekeeping.

Quality control

The housekeeping supervisor's job got quietly easier — HouseProud's AI was catching quality issues and instructing cleaners to fix them before the supervisor ever set foot in the room to check it herself.

Bit by bit, a heritage hotel with a lot of moving parts became a synchronised one. Every department — housekeeping, maintenance, and reception — was now working off the same live picture, rather than four separate paper trails that only ever met in Tiaan's inbox.

A month in

A month into using the system, the shift was complete enough that Tiaan put it plainly:

I don't even know how we would manage our hotel without this system.
